Privacy Policy – ciopulse servicenow App

This Privacy Policy explains how the ciopulse servicenow application ("App") handles data when installed and used within a servicenow instance.
1. Purpose of the App
The ciopulse servicenow App is designed solely to dynamically construct a ciopulse survey URL based on data from an existing servicenow record (for example, an incident).
The App does not collect, store, process, persist, or analyse survey responses or personal data within servicenow. Its only function is to generate a URL that links to an externally hosted ciopulse survey.
2. Data Accessed by the App
When generating a survey URL, the App may temporarily access the following data from a servicenow record:
- Incident or task number
- Assignment group display name
- Assigned agent identifier (optional)
- Caller or requester identifier (optional)
Identifiers may include email addresses, usernames, names, or internal IDs, depending on the customer's servicenow configuration.
This data is accessed only at runtime and exclusively for the purpose of constructing the survey URL.
3. Data Storage
The ciopulse servicenow App does not store any personal data or record data in servicenow tables, custom tables, logs, or external systems.
No data accessed by the App is persisted, cached, copied, or retained by the App in any form.
4. Data Transmission
The App constructs a survey URL that may include record references and identifiers as URL parameters. When a user opens the generated URL, this information is transmitted directly from the user's browser to the ciopulse survey platform.
The ciopulse survey platform is hosted outside of servicenow at:
Data transmitted to the ciopulse survey platform is governed by the ciopulse privacy policy and security controls applicable to that platform.
5. Survey Data Handling
All survey responses and any data submitted via the survey are collected, stored, and processed entirely outside of servicenow by ciopulse systems.
The servicenow App does not receive, retrieve, store, or have access to survey responses, analytics, or reporting data.
6. Data Sharing
The App does not share data with third parties.
The only data transfer performed by the App is the construction of a URL linking to the ciopulse survey platform, as configured by the customer.
No data is sold, rented, or used for advertising or marketing purposes by the App.
7. Customer Responsibility
Customers are responsible for:
- Determining which data elements are included in the generated survey URL
- Ensuring that use of survey links complies with internal policies and applicable regulations
- Informing end users about survey participation and how their data will be processed by ciopulse
8. Security
The App runs entirely within the standard servicenow security model and uses built-in servicenow APIs and access controls.
The App does not introduce additional authentication mechanisms, background data transfers, or external data storage.
9. Changes to This Policy
This Privacy Policy may be updated from time to time to reflect changes to the App or legal requirements. Updates will be made available through the servicenow store listing or App documentation.
